Workday-ology

80/20 Rule – A business process development technique that advocates an approach to design processes which address the majority (80%) of situations, leaving the remaining 20% to handle as exceptions.

Announcement Worklet – Tailored message(s) that will display for identified groups of workers; examples include a welcome video message from the Chancellor, a message about GCCCD values and culture, a message about benefits with a link to an appropriate website.

Bi-Tech – SunGard Public Sector division that provides software solutions; e.g. IFAS.

Business Process – A sequence of one or more tasks that accomplishes a desired business objective, such as hiring an employee or paying an invoice; a.k.a. Work Flow.

Campaign Worklet – This worklet will display on the Home landing page until the identified processes/steps are complete; e.g. Onboarding. 

Colleague – Software system created by Ellucian (formerly Datatel).  Parts of Colleague will be interfaced into Workday.

Cost Center Workday’s concept for Department.

County – The San Diego County Office of Education.  Referred to as “the County”.  Current provider for GCCCD’s payroll services.

Delivery Assurance (DA) Part of the Workday deployment process where an experienced deployment and project management expert ensures that the project is on track and that the system is optimally configured.

Executive Sponsors Articulates and demonstrates executive support for the outcome of the project; assists with major issues, problems and policy conflicts; removes obstacles.

Fiscal Independence  Fiscal independence gives districts authority to issue vendor and payroll warrants.  As part of the Workday project, GCCCD is applying for fiscal independence which will allow GCCCD to continue to produce vendor checks and produce its own payroll checks (currently the San Diego County Office of Education processes and produces the District's payroll checks). Fiscal independence is granted by the California Community Colleges Board of Governors, based on the recommendation from the applicable county offices and results of an independent Certified Public Accountant survey of the district’s accounting controls.

HCM (Human Capital Management) – Set of practices related to people management.  Within Workday, human resources is referred to as HCM.

IFAS (Integrated Financial and Administrative Solution) – GCCCD’s current financial and personnel management system, which includes the newer web-interfaced Dashboard and the older client-based Insight.

Key Code (GCCCD) In Workday, this is an example of a short-cut.

Landing Page – The main Workday pages are called landing pages.

Matrix Organization – Has a manager who has a dotted-line relationship to all the members of the matrix organization.

PeopleAdmin – Software system used by GCCCD for recruiting.  This will be interfaced into the new Workday system. 

Project Charter – Defines the scope, objectives and overall approach of the work to be completed within a project.  It lays out how the project is initiated, planned, executed, controlled and assessed.  The charter typically serves as a contract between the project team and sponsors stating what will be delivered according to the constraints, risks, resources and standards agreed upon for the project. 

Project Team – All participants assisting with the Workday deployment; including the Implementation Taskforce, functional team leads, functional teams, subject matter experts (SME), technical teams, and department staff.

Related Actions Icon […] – Allows you to take actions or complete tasks related to that object. 

SaaS (Software as a Service) – Software licensing and delivery model in which software is licensed on a subscription basis and is centrally hosted by a vendor. Workday is a SaaS product.

 SCI (Sierra-Cedar, Inc.) – Licensed by Workday to be an implementation partner providing project coordination with Workday, Inc.

Search box – Use the Search window to locate any tasks, reports, and views to which you have access.

SIG (Strata Information Group) – Implementation partner providing project management and staffing assistance.

Stakeholder – Anyone who is invested with the success or impact regarding the implementation of Human Resources, Payroll or Finance.

Supplier Workday’s word for Vendor.

Tenant – A complete and separate instance (or container) of the Workday system; e.g. P0, Gold, Production, Sandbox.

Twinkie – A nickname for the “Related Actions Icon” […].

WIT – Workday Implementation Taskforce; Core Steering committee for the Workday deployment.

Workday, Inc. Chosen provider of the new HR/Payroll and Finance system, which will allow us to integrate, modernize and streamline business practices.

Worker – A person who is either an employee hired by GCCCD or a contingent worker contracted by GCCCD.

Worklet – An icon that provides easy access to related tasks and information that are used regularly; examples include “Personal Information”, “Time Off”, and “Directory”.
